JOB SUMMARY
The Department of Dramatic Arts, in the School of Fine Arts, seeks qualified applicants for the position of Educational Program Assistant 1. Under the direction of the Department Head, the Program Assistant will provide day-to-day administrative support to the Department of Dramatic Arts.
DUTIES AND RESPONSIBILITIES
- Provide general administrative support for the Department Head, which may include maintaining the Department Head’s calendar, handling administrative matters, and preparing standard correspondence and data for reports as needed.
- Overseeing office administration and organizational support needs for the Department of Dramatic Arts: responding to requests from students, faculty, and staff members; troubleshooting, researching, and resolving problems of a routine nature; making routine purchases; maintaining filing and record-keeping including confidential information; assisting faculty and staff with guest honoraria, travel arrangements and reimbursements in compliance with University policies and procedures; assisting with management of the
- Department’s office equipment and overall facility needs including communication with custodial staff; maintaining communication with internal and external contacts to ensure the office functions smoothly and professionally.
- Responsible for the accurate and timely entry and onboarding of all hiring paperwork and transactions related to employment across the Department, including faculty and staff searches, special payroll, graduate assistantships, and regular and Federal Work-study student labor processing. Collaborate on orientation and welcome of all new hires.
- Coordinating department course schedules and room assignments. Serving as the liaison between the Department Head, faculty, and the Office of the Registrar.
- Managing reservations and scheduling of Drama Department-controlled spaces, where appropriate in collaboration with the Production Manager of Connecticut Repertory Theatre.
- Maintaining and monitoring student registration, academic records such as course rosters, grade reports, and other records; and processing and tracking scholarships, fellowships, and awards to students.
- Facilitating student recruitment and admissions processes in coordination with department faculty and School of Fine Arts staff. Assisting with all programs and processes pertaining to student admissions. Coordinating Open Houses, UConn Bound Day, and other departmental events, in concert with faculty.
- Updating and maintaining the Department website, social media, and email listservs.
Supervising undergraduate student workers. - Planning and executing department activities to include space needs, food, publicity, travel, and other technical and administrative logistics. Assisting with other department programs, processes, or activities as assigned, in order to further the Department’s educational mission.
- Providing exceptional customer service to faculty, staff, students, alumni, and University stakeholders.
MINIMUM QUALIFICATIONS
- Bachelor’s degree plus one year of relevant experience, OR Associate’s degree plus two to three years of relevant experience
- Strong oral and written communication and interpersonal skills
- Excellent organizational and problem-solving skills
- Ability to independently prioritize and execute multiple deadline-driven projects
- Demonstrated ability to work collaboratively with individuals of diverse cultural, social, and educational backgrounds
- Ability to maintain confidentiality of sensitive information
PREFERRED QUALIFICATIONS
- Prior experience in a higher education academic setting
- Experience with theatre practice and/or live performing arts
- Strong knowledge of basic software programs in Microsoft Office with advanced knowledge of Excel and Word; familiarity with WordPress and Adobe programs
- Customer service experience
- Supervisory experience
APPOINTMENT TERMS
This is a full-time position with an expected initial appointment to start as soon as possible. Scheduled work hours may include occasional evening or weekend commitments.
