Job Summary
Reporting to the Executive Director (ED) and working closely with the faculty Director of Studies (DoS), the Associate Director of Faculty Support Services (ADFS) will marshal the Department of Economics faculty administrative support resources and will be an integral member of the department management team working closely with senior level Econ managers in advising department leadership. This position will be the lead manager in the creation, coordination, and delivery of faculty services to support the onboarding and lifecycle of all the other academic researchers necessary to sustain their research programs. The ADAS is responsible for evaluating and improving internal policies and procedures while conducting faculty searches, promotions, and academic appointments.
Position Description
Faculty Support Services
Manages the faculty support specialists (FSS) team, consisting of Faculty Assistants and Coordinators within the department, providing support for Senior Faculty and visitors.
In close collaboration with the Associate Director of Administration, develops job descriptions, screens, interviews, and hires faculty support staff.
Designs and provides an extensive and through onboarding and training system for all new FSS and conducts refresh sessions on an annual basis.
Ensures FSS team members have mentors as needed.
Evaluates productivity of staff to identify problems and devise procedures for solutions while advising the ED of potential adjustments to staffing.
Ensures cross-training across all faculty admin support staff to maximize professional growth and service to constituents.
Ensures regular team meetings and sets agendas.
Develops a system for gathering formal and informal feedback from faculty on performance of all FSS members.
Conducts annual reviews and performance improvement planning for all faculty support staff.
Serves as primary resource for the FSS team and develops, documents and shares best practices associated with the role.
Works closely with Faculty on providing active and real-time performance feedback to their respective FSS staff.
Coordinates leave coverages and special projects assignments for all faculty support staff. (~10-12 individuals)
Works closely with Econ department Ass. Directors (Administration, Finance, Sponsored and Grad Program) to mentor and lead faculty support specialists.
Prepares ad hoc reports and surveys for the ED.
Faculty Affairs
Led by the DoS and ED this position manages all faculty searches, reviews, and promotions handling highly confidential materials. Assigns tasks to department coordinators as needed to support the activities of these functions.
Serves as a faculty contact and one source of information about the Department, the Division, FAS and the University.
Responsible for maintaining all faculty information up to date. Maintains faculty database, including sabbatical leaves, up-to-date vitae information and committee participation, etc.
Supports the Chair, DoS, and ED in the coordination faculty meetings, visiting committee, and department meetings.
Provides complex clerical document management and coordination support to the Chair including coordinating receptions, filings, preparation and editing of correspondence, reports, articles, etc.
Works closely with FAS and Econ?s Financial Offices on faculty financial issues including move reimbursements, housing supplements.
Academic Affairs
Provides administrative oversight of departmental fellows (pre, post-doctoral), visiting scholars, and unpaid researchers, including research associates and other non-ladder faculty.
Responsible for consulting and making recommendations to the ED and Faculty Director on matters central to academic affairs.
Develops all online resource tools for faculty and research staff with a focus on records retention and university compliance on highly confidential materials
Maintains all academic review and promotion files and ensures all highly confidential information is secure.
Coordinates with Associate Director of Admin on all appointment changes or terminations.
Other duties as required.
Will serve as an integral part of the Econ managers group.
May represent the ED and department in administrative faculty support management meetings and academic services groups with the FAS, Division of Social Science and Harvard central administration.
May serve as lead of administrative staff specialized working groups
Basic Qualifications
A minimum of 7 years progressive administrative experience in an academic faculty services environment.
Or
Bachelor’s degree and a minimum of 3 years administrative experience in an academic environment is required.
