The Gift Services Manager is responsible for ensuring that all posted gift and alumni membership records match the deposits in the Advancement database system, manage the gift troubleshooting function, matching gift function, and exchange check process. Additionally, the Gift Services Manager will be responsible for mentoring, coaching, and leading the troubleshooting and Gift Services staff.
- Coordinates, distributes, and monitors workflow for the Gift Services team focusing particularly on accuracy, responsiveness, efficient processes, and operational needs.
- Assists in managing the day-to-day of all gift processing functions including the review of daily tax receipts. Serves as back up for processing contributions as needed.
- Oversees processing, depositing, receipting, acknowledgement, and documentation of all university gifts. gifts-in-kind, and insurance premiums.
- Provides the Finance department with closing reports to include, but not limited to, Pledge Receivable reports, Monthly GL Reconciliation, Monthly Fundraising Report, Quarterly Aging Report, Forecast Report and Pledge reminders.
- Responsible for resolving problems arising from ambiguity of data and revising policies and procedures as needed; consults with Director if decisions require major changes in specified procedures.
- Ensures that all transactions are conducted within the policies and procedures of the University, and any municipal or federal laws.
- Creates and maintains documentation and processes for colleges and units to allow for ease in submitting gifts and requests to the processing group.
- Serves as department liaison on revenue generating projects. Provides revenue reports as needed.
- Evaluates present systems to determine whether some functions can be automated to improve turnaround time.
- Maintains solid understanding of IRS charitable contribution rules and regulations. Stays abreast of emerging trends in the field of philanthropic gift recording.
- Ensures that all staff are cross trained as appropriate in each of the functional areas within the department.
- Participates in related associations and other professional networks to advance the university’s practices. Supports the director in the completion of various National Higher Education surveys.
Minimum Qualifications:
Bachelor’s degree and five (5) years of extensive experience with fundraising databases software: OR nine (9) years of extensive experience with fundraising databases software; OR an equivalent combination of relevant education and/or experience. Experience with imports and exports of databases, and experience managing a processing team.
