Primary Purpose/General Description
Reporting to the Dean or Director of applicable School or Administrative area, the school/Administrative Budget Officer assists their area with monitoring Finance and Administration in support of the preparation of fiscal transactions, budgets, forecasts, and related financial reports. The Fiscal Officer works closely with the Director of Budgets and Planning to ensure timely and accurate budget reporting.
Description of Duties and Responsibilities
Essential Functions
• Develops, maintains, and reports on the annual operating and restricted budgets and quarterly forecasts for the appropriate School or Administrative area.
• Coordinates enrollment targets with Academic Program manager and School Admissions Director. Monitors all budgets, including operating, restricted funds, and grants and contracts.
• Attends the monthly Budget Officers meeting facilitated by the Director of Budgets and Planning.
• Prepares fiscal transactions for students and faculty including payroll requests for grants and contracts and restricted program accounts – supplier Invoice payments, records cash sales, employee expense reports and adjusting journal entries as appropriate.
• Prepares invoices for restricted program accounts. Responsible for supervising and reviewing the work of the SSSPE Budget Coordinator, ensuring accuracy in financial processes and reporting.
• Assist the Director of Operations at The Evaluator’s Institute (TEI) and the Claremont Evaluation Center (CEC) with submitting budgetary and financial transactions, including processing journal entries, submitting supplier invoices, cash sales and maintaining the budget to support efficient financial management and decision-making.
• Runs roll-up actual to budget monthly report using accounting system of record inclusive of operating budget, restricted program accounts, and grants and contracts.
• Runs reports in the budgeting software. Responds to questions from Finance and Administration and other administrative offices with respect to budgets, forecasts and budget reporting in their area Creates ad hoc reports, performs sensitivity testing, and performs data mining/drill down as needed.
• Researches, analyzes and answers questions on the General Ledger or related fiscal questions pertaining to budget and forecast reporting. May do extensive research on projects.
• Assists Finance and Administration with year end financial audits as needed. Maintains accurate and organized records of reports and transactions.
• Other duties as assigned.
Required Knowledge, Skills and Abilities
Individuals must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.
Knowledge of Microsoft Office (Word, Excel, PowerPoint). Knowledge of Workday, XLerant (BudgetPak), PeopleSoft, Slate, or similar programs. Strong analytical skills. Excellent personal and communication skills. Understanding of budgeting and forecasting in the higher education field.
Qualification Standards
1. EDUCATION: Any combination of education and experience equivalent to graduation with a BA, preferably in business, finance, or accounting, or any combination of education, training, or experience that provides the required knowledge, skills, and ability.
2. EXPERIENCE: Minimum of one year experience in accounting, finance (preferably in Fund Accounting), or budgeting; plus, analytical ability and PC fluency including extensive knowledge of Excel.
3. LICENSES: None
4. OTHER PREFERENCES: Preference will be given to applicants with a Bachelors Degree in Accounting and/or Finance or equivalent education.

1. HOURS: The regular hours for this position are 8:30 a.m. until 5:00 p.m., Monday through Friday. Hours may vary due to needs of the University or department. Must be willing to work rotating shifts and overtime as needed.
2. CLASSIFICATION AND STATUS: This is an exempt, benefit-based, full-time temporary, 12-month position.
3. This position reports to the Dean or Director of applicable School or Administrative area and assists on special projects.
